Terms & Conditions

Last updated 6 September 2026

These terms cover booking classes, buying class packs and programmes, cancellations, refunds and your safety in class at Root & Reach Pilates. By booking with us you agree to them.

We have tried to write these in plain English. If anything here is unclear, please ask us at hello@rootandreach.ie before you book.

1. Your health comes first

  • Before your first class you must complete our health form and liability waiver. We cannot let you on the mat without it, this is for your safety and is a condition of our insurance.
  • Please keep it up to date. If anything changes (a new injury, a pregnancy, an operation, a new diagnosis), update your form or tell your instructor before class.
  • Pilates is physical exercise and carries inherent risk. You take part voluntarily and are responsible for working within your own limits. If you feel unwell or in pain, stop and tell the instructor.
  • If you have flagged a health condition, we may ask you to confirm that a doctor is happy for you to take part.
  • Our instructors are qualified to teach Pilates. They do not give medical advice, and nothing in a class is a substitute for it.

2. Class packs and prices

  • You can book a single class, or buy a pack of 5 or 10 classes at a lower price per class.
  • Your classes never expire. They stay on your account until you use them. We think expiry dates are a mean way to run a studio.
  • Classes are personal to you and cannot be transferred, shared or sold.
  • A class is worth one class at any of our regular classes, whatever the level.
  • Prices are shown on the site and may change. A change never affects classes you have already bought.

Automatic renewal (optional, and off unless you turn it on)

  • If you switch it on, we will buy you the same pack again using your saved card when you are nearly out of classes.
  • We email you a receipt every time this happens.
  • You can turn it off at any time in your account, with no notice period.
  • Your card is stored securely by Stripe. We never see or hold your card number.

3. Booking a class

  • Booking closes 15 minutes before a class starts.
  • A class is only held for you once it is booked. Places go quickly.
  • You cannot book the same class twice.

4. Cancelling, and what happens to your class

This is the part worth reading properly.

  • More than 1 hour before the class: cancel and the class goes straight back on your account, to use whenever you like.
  • Within the last hour: you can still cancel, and we would much rather you did, so someone on the waitlist can take the place, but the class is used and does not come back.
  • Not turning up: a no-show uses the class, the same as a late cancellation.
  • Life happens. If something genuinely unavoidable comes up, message the studio. Alison can put a class back at her discretion, and generally will.
  • Rescheduling within the free window simply moves your booking; nothing is lost.

5. Waitlists

  • If a class is full you can join the waitlist. It costs nothing and does not use a class.
  • When a place opens, it is offered to the next person in line, who has 2 hours to accept before it passes to the person after them.
  • For a regular class, a class is only used from your account when you accept.
  • For a paid pop-up or a programme, you pay when you accept, and we hold the place while you do.
  • Waitlists work the same way for classes, pop-ups and programmes.

6. Programmes and pop-up classes

  • Programmes are fixed-price multi-week courses, paid in full when you enrol. They cannot be paid for with a class pack, because the price already reflects the whole course.
  • Programmes are refundable up to 1 hour before the first session, and not once the programme has started.
  • You cannot join a programme part-way through, everyone starts at session one.
  • Pop-ups are one-off events with their own price. They are paid for individually and are not booked with a class pack.

7. If we cancel a class

  • If we cancel a class for any reason (illness, weather, a problem with the venue), the class goes back on your account automatically and we email you straight away.
  • If we cancel a programme before it starts, you get a full refund.
  • We do not cancel lightly, but a small studio depends on one instructor being well enough to teach.

8. Paying

  • Online payments are processed by Stripe. We never see or store your card details.
  • Prices are in euro and include VAT where it applies.
  • The studio may also take payment in person (cash or card) for someone booked in directly. A receipt is available on request.
  • Occasionally the studio may offer a class free of charge. That is a gift, not an entitlement.

9. Refunds and your cancellation rights

  • Unused classes can be refunded on request. We will refund to the original payment method.
  • Classes already used, and programmes already started, are not refundable.
  • Your 14-day right to change your mind. Under Irish and EU consumer law you normally have 14 days to cancel something bought online. Because our classes are booked for a specific date and time, that right does not apply to a booked class once that date has passed. It does apply to an unused class pack, and you may cancel it within 14 days for a full refund.

10. Behaviour in class

  • Please arrive on time. Latecomers may be asked to wait, as joining a class mid-warm-up risks injury.
  • We ask everyone to treat other participants and the instructor with respect.
  • We may decline a booking or ask someone to leave if their behaviour puts others at risk or spoils the class. In that situation we refund any unused classes.

11. Our responsibility to you

  • We will teach classes with reasonable care and skill by a qualified instructor.
  • We are not responsible for personal belongings brought to a class, or for injury arising from you not telling us about a relevant health condition, or ignoring instructions given in class.
  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud. Your statutory rights as a consumer are not affected.

12. Your account

  • There is no password. We sign you in with a one-time code sent to your email, so keep access to that mailbox secure.
  • Please keep your contact details accurate, that is how we reach you if a class is cancelled.
  • You can delete your account at any time. See our Privacy Policy.

13. Changes to these terms

We may update these terms. The date at the top shows when they last changed, and any change applies from then on, never retrospectively to a class or pack you have already bought. If a change is significant we will email you.

14. Governing law

These terms are governed by the law of Ireland, and disputes fall to the Irish courts. If you are unhappy, please talk to us first, most things are sorted with a conversation.

15. Who you are contracting with

These terms are an agreement between you and Alison Bates, trading as Root & Reach Pilates, a sole trader based at Tomhaggard, Co. Wexford, Ireland.
